Terms of service

Last updated October 30, 2026

Welcomed is operated by Vola Ventures LLC (“we” and “us”).

These terms apply to everyone who uses Welcomed: hosts who set up events, and guests who visit an event's site. By using Welcomed you agree to them, and to our privacy policy.

Accounts and access

Hosts need an account, must be at least 18, and are responsible for activity on their account. Keep your sign-in email secure. Guests don't need an account.

Fees

Building and previewing an event is free. You pay once per event when you publish it, at the package you pick, and for any add-ons or AI photos you buy. Prices are on our pricing page and shown before you pay, in US dollars. Payments are handled by Stripe; we never see your full card number.

  • Unlimited guests, fair use. Packages don't limit the number of guests. Uploads are compressed, very large files may be refused, and we may ask about an event that stores far more than events usually do (about 10 GB).
  • AI photo credits are used one per AI photo, including retakes and tests. They expire on the date shown in your account (12 months after you get them), can't be transferred to another account and have no cash value.
  • Your gallery stays open from the start date you set for your package's period (30 days, 6 months or 12 months), plus any extension you buy. You can change the start date until it arrives.
  • Refunds and credits. If your plans change, ask us from your account. We review every request; we usually offer a credit toward a future event (good for 12 months), and we refund your card when that's fairer. Unused AI photo credits from that payment are removed either way.
  • Donations. Custom pages can link to a giving page. Welcomed doesn't collect or handle donations, and each organization is responsible for its own pages and their content.

Hosts' responsibilities

  • Only add guest information you're allowed to use for your event, and keep it accurate.
  • Tell your guests that the event has a shared photo wall and guestbook, and get any permissions you need, particularly for photos of children.
  • Review what the setup chat proposes before you approve it. It can make mistakes.
  • Moderate your event using the tools provided, and respond to guests who ask for something to be removed.

What you post

You keep whatever rights you have in the photos, logos, videos, messages, invitations and other content you add to Welcomed(“your content”), and you promise you have the right to add it. We don't claim ownership of it. You give Welcomedpermission to store, process and display your content as needed to run, maintain and improve the service (for example, our staff may look at the uploads behind a design to improve how designs are made), including showing guests' posts to the event's host and other guests, and sending it to the AI providers described in our privacy policy when you use a feature that needs them. Guests also give the host permission to view, download and keep what they post to the host's event.

The guest's photo and the booth photo made from it, including one restyled by an AI look, are your content. Any theme art in it, such as the frame, stays ours and is covered by the license below.

Theme art we create

When you ask Welcomed for a designed theme, the images it generates for you are called “theme art”: the theme's backgrounds, decorations and emblems, and the booth frames and look pictures made from them, to the extent they aren't your content. As between you and Welcomed, and to the extent any rights exist in it, Welcomed owns the theme art.

We give you a royalty-free, non-exclusive, non-transferable license, at no extra charge, to use the theme art for your events: on your event's site, on the photo booth and on items you print or order for your events. If you buy printable items, you may print them yourself as well as order them printed. You and your guests may keep and share photos and items that include the theme art, for personal, non-commercial use. The license covers events you have held and items you have already printed, even if you stop using Welcomedlater. You may not resell the theme art or items made from it, license it on its own, or use it as a logo or trademark, unless you have a partner agreement with us. Your own content that appears in it, such as your logo or invitation, stays yours; we own only the art we generate.

AI makes the art, so we can't promise that it is one of a kind, or that the law treats it as protected by copyright.

AI and your content

Some features of Welcomed use AI, such as the setup chat, designed themes and the photo booth's AI looks. For them we send what the feature needs to the AI providers named in our privacy policy. We use their business services, and Vercel lists each of them as a provider that doesn't train on prompts. Welcomed doesn't use your content to train AI models either. Providers may keep requests for a limited time, for example to detect misuse. AI can make mistakes, so look over what it makes before you use it.

Adults and children

Welcomed is for adults: hosts must be at least 18. Welcomed is not directed to children under 13 without a parent's or guardian's supervision. Some events include children, and a child may appear in photos or use the photo booth while an adult supervises.

  • If children will be at your event, you are responsible for getting a parent's or guardian's permission before their photos, videos or messages are added, for a grown-up supervising any child who uses the photo booth, and for permission before a child uses an AI look.
  • You can use the tools we provide: ask for a grown-up's OK before AI looks, turn off the AI modes, turn AI looks off or hide a look, pause the booth, hide or remove any photo or video, and require approval for videos.
  • If a parent or guardian asks you to remove their child's photo or information, do it promptly: you can remove any photo or video at any time.

Acceptable use

Don't use Welcomed to:

  • post anything illegal, hateful, harassing, sexually explicit, or that exploits or endangers children;
  • post content you don't have the right to share, or other people's private information without permission;
  • break into, overload or interfere with the service or other events;
  • send spam or use an event site for something other than an event.

We may remove content or suspend accounts that break these rules, and report illegal content where required.

Keeping and deleting content

A published event's site stays live until its gallery closes; an event that was never published stays for 12 months after its date. We'll email the host before a site is taken down; download anything you want to keep before then. Deleted items stay in the host's trash for 30 days. You can stop using Welcomed at any time and ask us to delete your event.

Changes to the service

Welcomed is new and will change as we learn from hosts. We may add, change or remove features. If we ever shut down a feature or the service, we'll give hosts reasonable notice and a chance to download their content.

Disclaimers

We work hard to keep Welcomed reliable, especially on the day of your event, but it's provided “as is” without warranties of any kind, to the extent the law allows. Have a backup plan for anything critical, such as a printed seating chart.

Limitation of liability

To the extent the law allows, Welcomed isn't liable for indirect or consequential losses, or for content posted by hosts or guests. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim.

Ending your use

You can stop using Welcomed at any time. We may suspend or end access if these terms are broken, or if we must for legal reasons. Sections about content ownership, theme art, disclaimers and liability continue to apply afterward.

Governing law

These terms are governed by the laws of the Commonwealth of Pennsylvania, without regard to its conflict-of-laws rules.

Changes to these terms

We may update these terms and will change the date at the top when we do. If a change is significant, we'll email hosts before it takes effect. Continuing to use Welcomed after that means you accept the new terms.
